The situation
Every client sends things differently, and all of it comes to a shared address. Someone opens it, works out which client and which matter it belongs to, files it, and notices whether it starts a clock. That last part is the one that gets missed on a busy week.
Meanwhile the statutory and engagement dates live in a schedule that is accurate until it is not, and juniors spend their chargeable hours on filing rather than on the work clients are paying for.
What arrives
Scoped per matter. A role that works one client group cannot reach another, and the boundary is set by your administrator rather than by us.
Integrations →Three roles teams start with
Each one is a named role with a scope. None of them advises, and none of them signs anything on the firm’s behalf.
Advice, sign-off and client boundaries
Nothing that constitutes professional advice is produced or sent, at any trust level. Nothing is signed, submitted or filed with a regulator or authority without a named person doing it. The pack is prepared; the opinion is yours.
Client confidentiality is enforced as a scope rather than a policy. A role reaches the matters its job description names and no others, and every read is on the record, so a conflict question has a factual answer.
The five levels and their floors →File, index, track dates, draft internal chases, assemble a pack, flag a missing document or an approaching deadline.
Advise, opine, sign, submit a filing, or reach a client or matter outside the scope you granted.
One record, in full
Six months later the record replays: the documents as they were, the deadline as it stood, and the fact that nobody had signed anything.
Decisions and replay →What stays with your people
Professional judgement
Treatment, interpretation, opinion and anything a client could rely on. Preparation is work; advice is a qualified person’s name on a page.
Sign-off and submission
Filings, returns and certificates go out because a person sent them, and the record shows which person and which version.
The client relationship
The difficult call, the scope conversation, the fee discussion. None of that is queue work, and none of it is handed over.
Start with the intake address. One week of it is usually enough to see the shape.
