The situation
The contracts are in a drive, in a mailbox, and in two people's memories. Some are signed PDFs, some are the third amendment to a framework nobody has read since. The renewal dates are in a spreadsheet that was accurate last year.
So an auto-renewal goes through because the notice window closed in August. An obligation is discovered when a customer quotes it back at you. Nobody was careless; the information simply was not anywhere a person could see it in time.
What it reads
Scanned documents included. Where a scan is unreadable it says so rather than guessing at the date.
Extraction, with the clause attached
Every extracted fact carries the document, the clause and the date it was read. A fact without a source is treated as not known.
Dates
Start, end, renewal, and the notice window counted backwards from it. The window is the useful date, and it is the one that gets missed.
Terms
Price and uplift mechanics, liability caps, exclusivity, assignment, governing law. Where an amendment overrides the original, the later one wins and both are shown.
Obligations
What you promised, to whom, and by when, reporting duties, service credits, audit rights, data commitments. Each one becomes something a person can be assigned.
When two documents disagree, it does not pick a winner quietly. The conflict is raised as an exception with both clauses side by side.
How memory and sources work →Irreversible commitments stay with a person
Nothing is signed, executed, served, renewed or terminated autonomously. Not at level 5, not with a configuration change, not in a hurry. An AI employee can prepare the notice and put it in front of the right person; it cannot send it.
This is deliberate and it is not negotiable. A renewal you did not intend is recoverable with a phone call. A termination served in error is not.
The five levels and their floors →Surface the window, draft the notice, assemble the negotiation pack, flag the clause that changed between drafts.
Sign, countersign, serve notice, accept terms, or let a renewal proceed on its own decision.
A renewal, surfaced
“Why did we agree to this?”
Ask it in plain English and the answer comes back with the clause, the version it appeared in, and the negotiation thread around it, or it comes back saying the record does not show why, which is the honest answer more often than anyone likes.
The same question works for “which contracts cap our liability below £1m” and “what do we owe this customer quarterly”. Answers cite documents. There is no confident paragraph without them.
How Ask answers →What legal keeps
This is not advice and it does not pretend to be. It is the reading, the dates and the filing, done, and evidenced.
Point it at one drive of contracts. The first pass usually finds a window closing.
