The situation
The freight moves quickly and the paperwork follows at its own pace, in every format, from every party. Proof of delivery arrives as a photograph of a signature. The carrier invoice arrives three weeks later with surcharges nobody can immediately explain.
By the time a charge is queried the evidence is spread across a mailbox, a folder and someone’s phone, and the demurrage clock has usually been running the whole time.
What arrives
Photographs and scans included. Where a signature or a reference cannot be read, it says so rather than guessing at the consignment.
Integrations →Three roles teams start with
The work here is matching and evidencing, at speed. Commercial positions with carriers and customers stay where they are.
Money and liability stay with a person
Accepting a charge, conceding a claim, admitting liability for damage or agreeing a rate is never autonomous. Payments above the threshold you set are held for a named person, and a new payee or changed bank details is always above the line.
Notices under a contract of carriage are treated as irreversible. An AI employee can prepare the notice and count the deadline; sending it is a commercial act and it waits for you.
The five levels and their floors →Match documents, chase missing proof, compare invoices to agreements, draft queries, count notice periods, assemble claim files.
Accept a charge, admit liability, settle or concede a claim, agree a rate, or serve notice under a contract.
One record, in full
When the carrier disputes the query, the evidence is already one record rather than a search through three months of mail.
Decisions and replay →What stays with your people
Carrier relationships
What you challenge, what you absorb and what it costs you to be right. That is commercial judgement, not document work.
Rate negotiation
Agreements, tenders and the annual conversation. An AI employee holds the agreement to account; it does not negotiate it.
Liability calls
Damage, delay and who carries it. Prepared with evidence, decided by a person with the relationship in mind.
Point it at one lane and one carrier. The first month of invoices tells you plenty.
